Reminder of our cancellation policies & client accountability

Since reopening late May, we have been encountering an increased number of no shows on a weekly basis. Due to COVID, we have had to decrease our hourly capacity to maintain social distancing, so when clients do not show for their scheduled appointments, this impacts us financially. In addition, this is unfair to clients on the waiting list – that when a client does not show, they take a timeslot away from a client who needs to come in.

To mitigate this and ensure that clients on our waiting list can book timeslots that open up, we wanted to reiterate and clarify our Community Acupuncture cancellation policies.

Due to these unprecedented times, we will be implementing a flexible cancellation policy. As such, we are accepting late cancellations up to 12 HOURS BEFORE your appointment time ONLY due to illness. Unfortunately, reasons such as double-booking your schedule or changing your mind right before your appointment time do not fall under the criteria for illness.

Therefore, please provide advanced notice, so there is adequate time to book another client from the waiting list. Up to 12 HOURS BEFORE, you may cancel your appointment in JaneApp (preferred), via email or phone. At this time, we will be unable to answer the phone as frequently.

Our JaneApp system sends email appointment reminders 36 hours before. If you do not use or regularly check your email, please put systems in place to remind yourself of the appointment you have booked.

If you miss your appointment or cancel your appointment in less than 12 hours of the appointment, these are considered a NO SHOW. We reserve the right to charge you the $35 no show fee.

And as always, rescheduling is FREE OF CHARGE.
